11. MEETINGS OF MEMBERS
11.1. Every Annual or other General Meeting of the Congregation shall (subject to Rule 11, paragraph VII) be held at such time and place as the Council shall from time to time decide, and every such meeting other than the Annual General Meeting shall be called by notice issued to each member of the Congregation entitled to attend thereat, not less than seven day prior to the meeting, and the notice of the meeting shall set forth, as far as possible the matters for consideration; provided however that any matter not referred to in any such notice may, notwithstanding such omission, be dealt with at such meeting with the consent of the Chairperson and the majority of the members present at such meeting and entitled to vote thereat.

11.2 A notice of every Annual General Meeting, which shall take place yearly in the month of January, shall be sent not less than twenty-one days prior to the meeting to each member of the Congregation, and every nomination of a person for membership of the Council shall be forwarded to the Secretary within ten days from the despatch of such notice together with the names of the proposer and seconder and the written acceptance of the person nominated to act if elected (subject to Rule 1 1.3). Any member desiring to move any resolution at any General Meeting shall forward a copy of such resolution to the Secretary within ten days of the despatch of the notice.

11.3 Subject to the provisions hereinbefore contained with reference to Student and Junior members, every member of the Congregation shall have the right to attend and vote at every General Meeting and shall be eligible for membership of the Council. Subject to Rule 14 the decision of the majority shall be binding on the minority. Twenty members present at any General Meeting shall constitute a quorum.

11.4 The Chairperson at every General Meeting shall, in case of equality of votes, have a double or casting vote.

11.5 The matters dealt with at the Annual General Meeting shall be:-

11.5.1 To receive from the Council and deal with the report, balance sheet and statement of accounts for the preceding financial year, which shall end on the 30th October of the preceding year and an estimate for the income and expenditure for the current year.

11.5.2 To elect the Chairman, officers and other members of the Council under Rule 6.

11.5.3 To appoint the auditors.

11.5.4 Subject to Rule 1 1.2, such other matters as the Council shall decide


11.6 The voting shall be by a show of hands, but should at any meeting the Chairperson, or one third of the members present not being less than five in number demand a secret ballot, the voting shall be by secret ballot. At any contested election, the voting shall be by secret ballot.

11.7 One third of the total number of members of the Congregation may, by requisition in writing addressed to the Secretary and stating therein the subject or subjects to be considered, require a meeting of the members of the Congregation to be convened for that special purpose, and such meeting shall be called within seven days from the receipt of such requisition and shall be held within fourteen days thereafter.
